The run sheet for one month of a book club

Everything a host actually has to do between one meeting and the next, in the order it has to happen, with the deadlines that make copies arrive on time.

A book club month has about twenty small tasks in it, and most of them only work if they happen in a particular order. Reserve the kit before the vote closes and you may reserve the wrong book. Close the vote two weeks out and half the group reads a sample. Print the questions the night before and you will write six that all ask the same thing. None of this is difficult, but it is easy to do out of order when you are also holding down a job.

This run sheet is the order that works, drawn from how experienced hosts and branch coordinators actually run a cycle. Four stages, counted backward from meeting night. Work through it once with a pen and you will find the two or three steps your group has been skipping, which will almost certainly be the ones causing the problems you have been blaming on the books.

How to use it

Print the run sheet and keep it with the current book, or fill it in as a working document for the month you are in now. The dates are the useful part: write the actual calendar date next to each stage on the day the vote closes, and the month plans itself. Coordinators running several branch groups usually keep one copy per group, because the meeting nights differ and so do the kit return dates.

The sheet is also a handover document. When a facilitator changes or a co host takes a month while you travel, the filled in run sheet tells the next person exactly where the cycle stands, which copies are still outstanding and which questions are already written. That is far more useful than a verbal summary at the branch desk on a Friday afternoon.

Questions about this document

Does this work for a group that meets every six weeks?

Yes. The stages are counted backward from meeting night rather than tied to calendar months, so a six week or bimonthly cycle just stretches the first stage. If anything a longer cycle makes the early stages easier, because kit reservations and holds have more room to land.

We are a library branch group. What changes?

Two things. Room confirmation moves earlier because internal room bookings often compete with other programs, and the attendance record at the end matters more since it may feed a program report. Everything else runs the same way for a branch group as for a living room club.

Can I use the run sheet without buying anything?
